1. Role Objective

  • Manage a variety of HR and Administration activities such as settling expenses bills, supervising subordinates and assisting them on need basis, procurement liaison and effective

  • file management as well as vendor management in order to ensure timely settlement of all procurement and expenses bills, and constantly monitor to ensure timely completion of all HR and Administration within the guidelines set and followed by the company

Area of responsibility

Financial

  • Settle office expenses for water, electricity, office stationary, and other expenses bills

Operational

Oversee Operations& Assistance

  1. Supervise, guide and assist subordinates to ensure timely completion of their jobs and accordingly recommend performance incentives to the management
  2. Oversee airport pickups, accommodation and documentations of new employees being carried out by administrative personnel’s
  3. Prepare employment agreements for new employees and coordinate to get it approved from the respective management personnel’s
  4. Oversee employee’s visa, license and other registration processing activities including passport renewal and ensure they are carried out legitimately and on time by PRO’s and/or authorized staff personnel.
  5. Monitor, manage and ensure timely renewal of vehicle insurances and claims process completion
  6. Coordinate training programs for employees and apprentices and ensure they receive the right training at the right time
  7. Guide subordinate to maintain attendance register and over time register for the switchgear division
  8. Supervise to ensure timely completion of all payroll activities carried out by administration assistant
  9. Ensure that outgoing employees receive their full and final settlement and the same is reflected in the payroll
  10. Coordinate with head office for recruitment, monitor factory and employee accommodation facilities for any anomalies and highlight the management for taking necessary action steps
  11. Defining, designing and developing effective HR and Administration practices and process work flow, forms and standards in ensuring continuous improvement of HR and Administration operations
  1. Ensuring compliance with Omani labour law in maintaining reputation of the company’s organizational integrity and industry leadership in HR and Administration practices

Procurement Liaison

  • Maintain Office supplies and coordinate with suppliers for timely delivery
  • Manage record of repair and maintenance of office equipment for performing timely repair and maintenance activities

Reports & Presentation 

  • Do filing management and store documents with highest security for outside access
  • Record monthly expenses incurred and raise invoices for timely payouts on monthly basis

Vendor management

  • Obtain quotations from vendors for maintenance and service of switchgear facility
  • Consult GM to finalize best vendor and maintain all pertaining documents for future recital and references
  • Monitor vendor performance and revise contracts accordingly in consultation with the GM and respective project managers

MINIMUM EDUCATION, QUALIFICATIONS & SKILLS

Education:

  • Bachelor’s degree/ Diploma in relevant field

Experience:

  • Minimum 5 – 7 years in similar role for graduates
  • Minimum 7 – 9 years’ work experience in similar role for diploma holders

Special Skills & Knowledge: 

  • Good communication skills in Arabic and English
  • Computer literate
  • Good knowledge of Omani labour law

Business Understanding:

  • Strong knowledge about HR policies and procedures
  • Basic understanding of company business
